01 · Bank file

Documents banks typically request

Company evidence

Current KRS data, articles, representation rules, NIP and REGON data.

People

Identity documents for directors, signatories and UBOs; non-residents may need proof of address.

Ownership

A clear ownership chart and evidence for each corporate layer.

Business profile

Activity, counterparties, countries, expected volumes, currencies and account purpose.

Funds

Source-of-funds and source-of-wealth evidence where the risk assessment requires it.

02 · Verification

Is physical presence required?

There is no single model across Polish banks. Some require a branch visit; others offer remote identification for selected countries and structures.

Non-EU ownership, complex chains and risk-sensitive sectors generally receive deeper review. Confirm eligibility before arranging travel.

03 · Preparation

What slows onboarding down

Inconsistent records

Names, addresses or representation rules differ between sources.

Opaque ownership

The file stops at an intermediate company instead of the natural-person UBOs.

Vague transaction story

Countries, counterparties, values and commercial purpose are unclear.

Risk-sensitive activity

Sanctions exposure, crypto, gaming or certain jurisdictions can trigger enhanced review or refusal.

04 · Operations

Why the account matters early

A Polish payment account becomes practically important for trading, taxes and customer funds. For relevant B2B transactions above PLN 15,000, cashless-payment and VAT white-list rules must be assessed.

After opening, ensure the account is correctly reported and visible where required.

05 · Practical tip

Consistency beats improvisation

Prepare one coherent pack covering ownership, management, commercial purpose and expected flows. Consistency usually matters more than an advertised fast onboarding time.
